Converting a picture of a table into a spreadsheet is two problems, not one. The first is reading the characters — that is OCR, and it is the part most tools talk about. The second is working out which characters belong in which column, and that is the part that decides whether you get a spreadsheet or a single column of run-together text. Columns are inferred from the vertical bands of whitespace running down the image, the same cue a human reader uses. This is why a table separated only by spacing converts as well as one with ruled lines, and why a table photographed at an angle converts badly: tilt the page and those vertical bands stop being vertical. Almost everything that goes wrong is decided before you upload. The rest of this page is about that.
Enough that you can read the smallest digits yourself when you zoom in. There is no fixed pixel count that helps — a tightly cropped photo of a small table at 1000px wide reads better than a distant shot of the same table at 4000px.
Usually because the image is skewed. Column detection looks for vertical whitespace, and on a tilted photo those gaps slant and stop separating anything. Re-shoot square on, or crop and straighten first.
Numbers come through as numbers so you can total them, with the decimals the source showed. Values that are identifiers rather than quantities — an account number with a leading zero, a reference code — stay as text specifically so they are not reformatted.
Total a column in Excel and compare it with the total printed on the original. That one check catches most OCR errors immediately, because a misread digit almost never leaves the sum intact.
