1MB is the most forgiving of the common upload limits, and for a scanned document it is usually reachable without visible damage. That makes it the right first thing to try when a form rejects your file but does not say by how much. The reason it is forgiving is arithmetic. Getting a 10MB scan to 1MB means removing about 90% of the bytes, and image data compresses well enough that this can be done by downsampling resolution you were never going to look at. Getting the same file to 100KB means removing 99%, and that last stretch comes out of resolution you can see. So if the limit is genuinely 1MB, take it. Do not aim lower for the sake of a smaller number.

How to getting a PDF under 1MB

  1. 1Read the actual limit from the form before choosing a target. Many say 1MB where people assume 500KB.
  2. 2Compress toward 1MB and check the reported size.
  3. 3Open the result and look at the smallest text on the busiest page — that is where quality loss shows first.
  4. 4If it is still too large, the document is probably better split than compressed further.

Questions people ask

Is 1MB enough of a reduction for email?

For most mail systems, comfortably. Attachment limits are typically 10MB to 25MB, so a 1MB file is well clear — the tighter limits are usually upload forms, not email.

Will 1MB look worse than the original?

On a scan, slightly and usually not noticeably: the resolution removed is generally detail beyond what the page contains. On a document full of photographs or fine diagrams, it is more visible — check those before sending.

What if I need it smaller than 1MB?

Try a lower target and check the reported size and the legibility. Below a few hundred kilobytes, a long colour scan usually starts to degrade visibly.

Does compressing twice help?

No. Re-compressing already-compressed images loses quality without meaningfully reducing size. Start again from the original and pick a lower target instead.
