Almost every oversized PDF is oversized for one reason: the images inside it. Text is cheap — a hundred pages of it is a few hundred kilobytes. A single full-page scan at camera resolution can be larger than that on its own. This matters because it tells you what to do. Compressing a text-heavy PDF that is already 300KB will do close to nothing, because there is nothing bulky in it to remove. Compressing a 12MB scanned document will do a great deal, because almost all of those 12MB are pixels you do not need. It also tells you when to stop. A target is a goal, not a promise: a 40-page colour scan compressed hard enough to reach 500KB will have pages you can no longer read, and a file nobody can read is not a smaller file, it is a wasted one.

How to getting a PDF under 500KB

  1. 1Check what is in the file. Mostly text, and it is already small. Mostly scans, and there is a lot to remove.
  2. 2Compress toward the target and read the size you actually got, rather than assuming you hit it.
  3. 3If it overshot, try a nearer target — 1MB instead of 500KB — and check whether the limit really is 500KB.
  4. 4If it undershot and the pages are hard to read, go back up. Legibility is the constraint, not the number.

Questions people ask

Will it always reach 500KB?

No, and it will tell you when it did not. A dense colour scan may not reach 500KB at a readable quality. The size you actually got is reported so you can decide whether to accept it, try a different target, or split the document.

Why is my PDF still large after compressing?

Usually because it was never image-heavy to begin with — there was little to remove. A PDF that is already mostly text is close to its floor, and compression has almost nothing to work on.

Will the text stay selectable?

Yes. Compression works on the images; the text layer is left alone, so the file stays searchable and selectable afterwards.

Is it better to compress or to split the file?

If the limit is per-file and the document is naturally in parts, splitting keeps full quality and is usually the better trade. Compress when the document has to stay in one piece.
