Smart document tools

Extraction, checking and question-answering for when converting a file is not enough.

Most document leaks are not dramatic. They are a card number left in an invoice sent to the wrong list, a template placeholder that still says [Client Name], or a file whose author and original filename say more about where it came from than the sender intended. These share a property: they are all invisible in normal reading. Nobody proofreads a PDF's metadata, and a placeholder in square brackets looks like formatting until someone external reads it as a mistake. What follows is what is worth checking, in rough order of how often it actually goes wrong.

How to what to check in a PDF before you share it

  1. 1Look for identifiers in the body: card numbers, national ID numbers, account numbers, dates of birth.
  2. 2Look for template leftovers: bracketed placeholders, lorem ipsum, TODO or TBC notes, comments meant for colleagues.
  3. 3Check the metadata — author, original filename, producing application — none of which appears on any page.
  4. 4Check attachments and annotations, which travel with the file and are easy to forget.

Questions people ask

Does deleting text from a PDF remove it?

Not necessarily. Drawing a black box over text leaves the text underneath, still selectable and still searchable. Redaction has to remove the content, not cover it — that is what the redact tool does.

What is actually in PDF metadata?

Typically the author name, the original filename, the application that produced it, and creation and modification times. On a document built from an internal template, that is often more context than the recipient should have.

Can a check catch everything?

No, and it should not be relied on as if it could. An automated pass finds patterns it knows — number formats, bracketed placeholders, metadata fields. It cannot judge that a sentence is confidential. Treat it as a second pair of eyes, not a sign-off.

What about tracked changes and comments?

Comments and annotations are stored in the file and travel with it. Flatten the document before sharing if you want them gone rather than merely hidden.
